Help With Your Employer Responsibilities?

The laws and regulations surrounding being an employer can be complex and are often too confusing for the layman to understand. This is why so many employers turn to an accounting services provider for help with their payroll, contracts and many other matters relating to having employees.

Contracts of Employment

Employers often take someone on for a trial period. If after two months they are still employed they are legally entitled to a contract of employment. This document is quite detailed and needs to include information about the employer and employee as well as the terms of the employment. It also has to state sick pay leave entitlement and clearly define the amount of holidays and the pension arrangements. Providers of accounting services often have experts in employment law as well, and will be able to help you with the finer details of your contracts of employment.

Done correctly the contract can save any arguments at a later date over terms and conditions. Any changes to the contract should be notified in writing.

Payroll and PAYE

Payroll and PAYE is very complex but to get it wrong can be very costly with all the associated fines and penalties. Apart from making the correct deductions from an employee’s salary, there are numerous forms to be completed and deadlines to be met. New employees have to be registered with the Revenue and tax deduction certificates obtained.

Then there are P45’s to consider as well as P60’s, P30’s and P35’s. This might look like just a line of numbers, but each one has a specific purpose and a time limit attached for its completion and submission. Everything to do with PAYE is time sensitive, including paying your employee’s deductions before the 14th of each month.

The rates of tax and the rules relating to how PAYE is operated change all the time. However, the biggest change for over 50 years comes into force on 1st January 2019. From that date you will have to report every employee payment and deduction as they are made. This is all explained in more detail on the Revenue website. It is hoped it will enable the Revenue, employees and employers to be certain the right deductions are being made, and any corrections will be dealt with quickly.

At Kane Bergin & Company we have a team who specialise in PAYE and payroll services and they are here to assist you with yours. We can process your payroll weekly, two weekly or monthly and will give all your employees the payslips they are legally entitled to. These can either be a physical paper payslip or an online version, whichever you prefer. We will complete all the forms and make sure they are submitted by the due date.

Every company and its employees are different. Speak to one of the experts in our Payroll team and they will tailor payroll accounting services to suit your needs.

Health And Safety in The Workplace

Another important aspect of being an employer is ensuring that your working environment is a safe place for your employees to carry out their jobs. Too many accidents at work take place every year and many of them could have been prevented. Most employers make sure they have accounting services in place for the annual accounts, payroll and VAT. They will purchase all the legal requirements for insurances, have all their contracts of employment in place and then neglect health and safety.

Some employers do this out of ignorance of the rules, some because they see it as too costly and a minority just cannot be bothered. Thankfully, most employers in Ireland are not like this. They are responsible people who realise how important the safety of their employees is, but you will always find some that do not follow the rules.

Instead of using professional accounting services they will try and do a bodge job of their bookkeeping, payroll and accounts themselves. They will buy the bare minimum insurance cover, or possibly even think they can get away with not having it. They will risk accidents at work and employees being injured by ignoring health and safety legislation. Although these employers are a very small minority, various government departments know they are operating and inspections are carried out on all aspects of being an employer and running a business.

If your company is found to be not behaving as it should where its employees, record keeping, health and safety or Revenue submissions are concerned the fines that will be levied far outweigh what the original cost of doing things properly would have been.
